Managing Attachments

The attachments are the files that you may want to provide to other stakeholders in a workflow. The other stakeholders can then view the attachments and refer to the attachments while performing their tasks.

On the Attachments tab, you can view attachments, add a new attachment, or modify or delete previously added attachments.

Note: A clip or attachment icon in the Attachments tab indicate that an attachment is added to the work order.

To view an attachment

1.    Click the Attachments tab.

2.    Click the file icon in the grid view or the Open button in the thumbnail view corresponding to the attachment you want to view.

The attachment downloads to your computer, and based on your set browser preference, automatically opens in the appropriate application.

If the attachment does not open automatically, browse to the location where it is downloaded and double-click to open and view the attachment.

Tip

To view the Add Attachment dialog box, click the Add Attachment link.

To add a new attachment

1.    Click the Attachments tab.

2.    Click the Add New Attachment link.

The Add Attachment dialog box opens.

3.    Click Browse and navigate to the location of the file that you want to attach, and then click Open.   

You can repeat this step to attach more files for the same category, keywords, or description.

4.    In the Category list, select a category for the attachment.

5.    In the Keywords box, type the keywords using which the attachment can be searched.

6.    In the Description box, type a brief information about the file attached.

7.    When finished, click one of the following:

o      Attach File to save the information and close the Add Attachment dialog box.

o      Attach & Add New to attach the file and continue attaching additional files.

o      Cancel to disregard any changes and close the dialog box.

Note: After you add an attachment to a work order, the clip or attachment icon is displayed in the Attachments tab.

To edit an attachment

1.    Click the Attachments tab.

2.    Click the Edit link in the grid view or the Edit button in the thumbnail view corresponding to the attachment that you want to edit.

The Edit Attachment dialog box opens.

3.    To replace the attached file with a different file, click Replace, browse to the location of the file that you want to replace with, and then click Open.

4.    To update the details of the attached file, edit the category, keywords, or description as desired.

5.    When finished, click one of the following:

o      Save to save the information and close the Edit Attachment dialog box.

o      Cancel to disregard any changes and close the dialog box.

To delete an attachment

1.    Click the Attachments tab.

2.    Click the Edit link in the grid view or the Edit button in the thumbnail view corresponding to the attachment that you want to delete.

The Edit Attachment dialog box opens.

3.    Click the Delete link.

4.    In the Confirm Deleting Attachment dialog box, click one of the following:

o      Yes, Delete Attachment to confirm the deletion.

o      Cancel to disregard any changes and close the dialog box.
