Managing Labor Transactions

Labors are the technicians assigned to work on a repair. You can record the labor transactions happening on a repair from the Add Labor Transaction link or the transactions are automatically recorded in the Labor tab when the technician completes work on a repair from the Technician Workstation (TWS) portal.

This topic describes the following:

Adding a Labor Transaction

With required permission, you can add a labor transaction to the work order.

Note: You can add labor transactions only for the previous and the current date and time.

Tip

To view the Add Labor dialog box, click the Add Labor link.

To add a labor transaction

1.    On the Maintenance module, search and view the work order.

2.    Click the Labor tab.

The Labor List page opens.

3.    Click the Add Labor Transaction link.

The Add Labor dialog box opens.

4.    In the Select a Work Order Repair field, select the repair for which you want to assign the labor.

5.    Optionally, click the Add a New Repair link to add a repair to the work order.

Note: You must first add a repair to the work order to add labor transactions to the work order.

6.    In the Start Date field, type the date when the technician starts the repair in the MM/DD/YYYY format, or select the date from the calendar.

7.    In the Start Time field, type the time when the technician begins repair in the HH:MM:SS AM/PM format, or select the time from the clock.

8.    In the End Date field, type the date when the technician completes the repair in the MM/DD/YYYY format, or select the date from the calendar.

9.    In the End Time field, type the time when the technician completes the repair in the HH:MM:SS AM/PM format, or select the time from the clock.

10.  In the Hours box, type the total hours required to complete the repair or click Calculate to automatically display the hours based on the time period specified in the Start Date/Time and  the End Date/Time fields.

11.  In the Technician list, select a technician to work on the repair.

12.  The Shift list displays the default shift assigned to the technician. Optionally, select a different shift.

13.  The Maintenance Shop list displays the default maintenance shop assigned to the asset for repair. Optionally, select a different maintenance shop.

14.  The Labor Rate list displays the default rate of the technician. Optionally, select a different rate.

15.  Optionally, in the Charge Overtime? list, select the option to consider the labor hours of the technician as overtime, not in overtime or based on the shift.

16.  When finished, click one of the following:

o      Save to save the information and close the dialog box.

o      Save & Add More Labor to save the information and add additional labor transactions.

o      Cancel to disregard any changes and close the dialog box.

Note:

While creating work order for a maintenance shop, if the Approved Above Threshold check box is not selected and if the total cost of work order including labor cost exceeds the threshold amount specified for that maintenance shop in Setup, an Authorization Required dialog box is displayed. You can click:

  • OK to return to Add Labor dialog box.
  • Authorize to approve the labor cost above the specified threshold. User roles with Can Authorize Spending permission can perform authorization. For others, an Authorization dialog box opens to login with the user credentials having Can Authorize Spending permission. On successful authorization, the labor details are saved. Also, the authorization is required only once.
  • Notify to send an email notification for authorizing the work order.
  • If you are using the AD FS Mode - FASTER and AD FS Authentication mode and cannot approve the spending limit, refer to the Note on the Maintenance/TWS Settings page for more information.

Editing a Labor Transaction

You can edit a labor transaction to modify or update the labor details.

To edit a labor transaction

1.    On the Maintenance module, search and view the work order.

2.    Click the Labor tab.

The Labor List page opens.

3.    Click next to the labor transaction you want to edit.

4.    Click the Edit link.

5.    In the Edit Labor dialog box, make the changes as desired.

6.    When finished, click one of the following:

o      Save to save the information and close the dialog box.

o      Cancel to disregard any changes and close the dialog box.

Deleting a Labor Transaction

You can delete a labor transaction after the technician has completed work on the repair.

To delete a labor transaction

1.    On the Maintenance module, search and view the work order.

2.    Click the Labor tab.

The Labor List page opens.

3.    Click next to the labor transaction you want to delete.

4.    Click the Edit link.

5.    In the Edit Labor dialog box, click Delete.

6.    In the Confirm Deleting Work Order Labor dialog box, click one of the following:

o      Yes, Delete Labor to confirm deletion.

o      Cancel to close the dialog box.
