The Add Asset Fuel dialog box lets you add fuel transactions for the assets in FASTER Web. This is useful if you need to add one or few fuel transactions. You can specify fuel transaction details such as transaction details, meter information, and fuel information.
Tip
To view the Add Fuel Transactions dialog box, click the Add Fuel Transaction link.
1. On the Fuel module, search the asset record.
2. In the Search Results grid, click the View link next to the record for which you want to add another fuel transaction.
The Fuel Transaction page opens.
3. Click the Add a New Fuel Transaction link.
The Add Asset Fuel dialog box opens.
Note: · To add a fuel transaction for an asset that has fuel inventory item (fuel item number in a storeroom) associated to its fuel vendor mapping, the storeroom of the fuel item must also be assigned to your user account from the Setup > Administrative Setup > Manage Security > Users > View > Add Storeroom. · If a fuel inventory item is associated with a Fuel Vendor Mapping: § The fuel dispense quantity that you enter in the Quantity field of the Add Asset Fuel dialog box must be less than or equal to the fuel quantity available in the Inventory module. § The cost of fuel inventory item pre-populates in the Cost field and is read-only. § The Negative Quantity & Cost field in the Add Asset Fuel dialog box is disabled, as negative quantity is not allowed in a fuel transaction. § The inventory levels of fuel inventory item are automatically maintained in the Inventory module when a fuel transaction is added/dispensed. |
4. In the Asset Number box, type the asset number.
5. In the Organization list, select the organization of the asset.
6. Click Verify Asset to verify if the asset number is present in FASTER Web:
§ If the asset is not found in FASTER Web, a warning message indicating that the asset number does not exist in the selected organization is displayed.
Note: The Transaction Details section is available when the asset number is verified correctly by FASTER Web.
7. In the Vendor Name list, select a vendor for the fuel transaction.
Note: If the selected vendor does not have any fuel sites associated with it, a warning message to select another vendor is displayed.
8. In the Transaction Date and Time Out field, type the date and time when the fuel transaction is made for the asset in the MM/DD/YYYY HH:MM:SS AM/PM format, or select the date from the calendar and time from the clock.
9. In the Reading box, type the meter reading of the asset.
Note: The Meter Information section displays the meter types that are added to the asset and their actual meter readings. · For each meter type, if the meter reading for fuel transaction is set to required in the asset, you must specify a valid meter reading in the Reading box according to the readings in the Actual box and cannot leave the Reading box blank. If the meter reading that you specify in the Reading box is invalid, an error message is displayed in the Validation Message column after you save the fuel details. In the Validation Option column, you can select the option to accept the reading as invalid or override the actual meter reading. Required meter readings are marked with a red asterisk character (*). · If the fuel meter reading for a meter type is set to optional in the asset, you can leave the Reading box blank. In this case FASTER Web ignores the meter reading for the asset meter type. If the Reading box is left blank, you can not add or update the readings for that meter after creating the fuel transaction. If you specify a meter reading in the Reading box, the reading must be valid. If you specify an invalid meter reading, an error message is displayed in the Validation Message column when you save the work order details. In the Validation Option column, you can select the option to accept the reading as invalid or override the actual meter reading. For more information, refer to Adding Meter Reading. |
10. In the Fuel Site list, select a fuel site where the fuel transaction is made.
Note: The Fuel Site list displays the fuel sites of the selected vendor.
11. In the Fuel Dispenser list, select a fuel dispenser of the fuel site.
12. In the Quantity box, type the fuel quantity.
Note: You can enter the following optional fields: · In the Vendor Transaction Number, enter the vendor transaction number of fuel. · In the Fueler ID Type list, select the type of identification of the fueler. · In the Fueler ID box, type the identification number of the selected fueler id type. · In the Fuel Type box, enter the type of fuel filled from the fuel dispenser. · In the Cost box, type the total cost of the fuel multiplied with the fuel quantity. In the Cost box, the total cost multiplied with the quantity of the fuel is displayed if the unit cost for the Fuel Site/Dispenser is defined in the Settings > Fuel Cost Setup. · In the Unit Price box, type the cost of the fuel per unit. In the Unit Price box, the unit price of the fuel is displayed if the unit cost for the Fuel Site/Dispenser is defined in the Settings > Fuel Cost Setup. · Select the Include Markup check box, if you want to add additional amount to the total cost of the fuel. · In the Cost with Markup box, type the markup cost to be added to the total cost of the fuel. The Cost with Markup value is auto populated if the markup amount is defined in the Settings > Fuel Markup Setup. · In the Road Tax box, the fuel road tax amount that is already configured for the fuel site/dispenser is auto populated. · Select the Negative Quantity & Cost check box, if you want to enter the negative values for fuel quantity and fuel cost and to correct them. Negative quantity will make the total fuel transaction cost (Quantity * Unit Cost) to negative but not the actual unit cost. |
13. Click one of the following:
§ Save to save the information and close the dialog box.
§ Save & New to save the information and add another record.
§ Cancel to disregard any changes and close the dialog box.
You can modify or update the fuel transaction of an asset.
1. On the Fuel module, search the asset record.
2. In the Search Results grid, click the View link next to the record for which you want to edit fuel transaction.
The Fuel Transaction page opens.
3. Click Edit this Fuel Transaction.
The Edit Asset Fuel dialog box opens.
Note: · To edit a fuel transaction for an asset that has fuel inventory item (fuel item number in a storeroom) associated to its fuel vendor mapping, the storeroom of the fuel item must also be assigned to your user account from the Setup > Administrative Setup > Manage Security > Users > View > Add Storeroom. · If a fuel inventory item is associated with a Fuel Vendor Mapping: § The fuel dispense quantity that you enter in the Quantity field of the Add Asset Fuel dialog box must be less than or equal to the fuel quantity available in the Inventory module. § The cost of fuel inventory item pre-populates in the Cost field and is read-only. § The Negative Quantity & Cost field in the Add Asset Fuel dialog box is disabled, as negative quantity is not allowed in a fuel transaction. § The inventory levels of fuel inventory item are automatically maintained in the Inventory module when a fuel transaction is updated. |
4. Make the required changes.
5. Click one of the following:
§ Save to save the information and close the dialog box.
§ Cancel to disregard any changes and close the dialog box.
You can also delete a fuel transaction of an asset.
1. On the Fuel module, search the asset record.
2. In the Search Results grid, click the View link next to the record for which you want to delete the fuel transaction.
The Fuel Transaction page opens.
3. Click Edit this Fuel Transaction.
The Edit Asset Fuel dialog box opens.
4. Click the Delete link.
The Delete Asset Fuel dialog box opens.
5. Click one of the following:
§ Yes, Delete Fuel Transaction to delete the fuel transaction.
§ Cancel to cancel your delete action.
Note: If the deleted fuel inventory item is associated with a Fuel Vendor Mapping, the fuel quantity is returned to the inventory of fuel inventory item.
